Job Description:

Local family owned company in Portland has a need for a full time Payroll and Billing Clerk. This position requires proficiency with all Microsoft applications, excellent organization and time management skills. This client would prefer to see at least 3 years of experience in a payroll department. In addition to these skills, candidates must possess exceptional patience and customer service abilities as there is quite a bit of interaction with the companies own customers as well.

Primary Responsibilities:

Payroll:


Collect, code and enter hours worked by field employees for weekly payroll processing into ADP tele-data system (soon to transition to ADP Workforce Now platform)


Attention to impeccable detail and the ability to double-check and detect errors is a must


Audit and verify all time keeping records of employees’ hours worked as well as any deductions or withholdings required to comply with state and federal law
Billing:


Collect, code and process field employees’ time sheets into the service division billing system


Manual data entry from Time Sheets and supplier invoices into industry specific computer syste


Ensure accurate and timely A/R billing


Billing is primarily done through our system and mailed or e-mailed to customers; however, some customers require billing and documentation done through web based portals they specify
Additional Duties:


Back office support for field personnel including monthly route planning


Davis-Bacon wage rate reporting


Respond to all types of customer requests by phone and e-mail


General office duties, including filing


Manage outgoing service and maintenance contracts and input and set-up when approved by customers


Assist in managing service contacts


Employee Benefits – track and enroll employees and assist with management


New hire paperwork processing and tracking


Duties will be added and/or modified as the position evolves
What We Need From You:

3 Years of experience High School Graduate (Associates or Bachelor’s Degree in Accounting or related field preferred)


Computer skills including proficiency with Microsoft Office, Excel, Word, and Outlook


Impeccable attention to detail required


Proven calm under pressure


Experience with ADP payroll software required


Excellent organizational and time management skills along with the ability to multi-task


Exceptional patience and customer service skills: ability to effectively and efficiently

communicate with customers via both telephone and e-mail
