Job Description

Hours: 8-5, M-F

Minimum Requirements

High School diploma or equivalent and 3+ years of experience an administrative assistant role or associate’s degree in relevant area.

Responsibilities

Receiving, handling and routing phone and email transmittal. Document review, proofreading, tracking, scanning, filing, and handling. Ability to become proficient with new software. Bookkeeping skills, knowledge of QuickBooks, or similar aptitude will also be preferred.  Provides management and tracking of office communications, schedule, and deadlines. Office management and other supportive duties to a new law firm. Performing general administrative tasks, such as faxing, photocopying, and filing. Crafting first-draft documents from rough information or in response to requests. Preparing basic form letters and other correspondence sent on a regular basis. Editing and proofreading documents for content, style, and accuracy (including technical and/or technical materials). Compiling data.  Utilizing communication systems such as voice mail, e-mail, mail distribution lists, etc.

Answering phones and directing incoming requests and faxes to the appropriate personnel; initiating contacts as required. Preparing materials for distribution and presentation at meetings (make labels, build inserts, create slides, etc.). Handling e-mail and voice mail responses on an as needed basis for the business partner(s). Maintaining the daily calendars of one or more members, adding and deleting entries, updating availability, authorizing changes to dates and locations, etc.  Submitting filings.

Communicating daily with the business manager to keep him/her informed of department or other important activities. Arranging travel and scheduling requests for key department members' attendance at outside functions and/or activities. Scheduling ad hoc and/or recurring meetings. Role may require individual to enter/maintain databases, records and spreadsheets. 

Other related duties as assigned. Must have transportation; may include local travel.

Preferences

Experience working in a regulated utility industry a plus.  Quick learner, meticulous, detail oriented and ability to multitask in a fast paced environment. Must be flexible in an ever changing environment and quickly adapt to change. Experience with Word, office programs, bookkeeping, billing, and Excel.
