This is a full-time salaried position and the candidate will report into the office located in Augusta, Maine. Relocation assistance may be provided.

The Office Manager is as subject matter expert on client archives, documentation and administrative policies and procedures and is responsible for providing comprehensive support to project delivery teams. Key functions include identification of required resources, priority and resource assignment, quality assurance, document control, milestone development, tracking and reporting. The Office Manager liaises directly with the client and is responsible for meeting client expectations on customer facing projects.

In addition, your role will be to:

  • Provide oversight and technical support to office-based team to facilitate timely completion of customer service tasks.
  • Coordinate and lead internal resources (Land Services, GIS, Land Administration and/or Planning & Permitting), set expectations and priorities, determine metrics, obtain deliverables and achieve milestones.
  • Manage client information including critical documentation and resources required for task and deliverable completion.
  • Navigate, update, maintain, and facilitate access to complex information and data systems.
  • Liaise directly with client or Client Manager and provide reports, updates and solutions.
  • Ensure that access and distribution protocols and training requirements meet client expectations.
  • Identify project risks, establish solutions, and escalate issues with management.
  • Manage detailed tracking and communication of project progress from a task, time, schedule, and cost perspective.

Qualifications:

  • Post-secondary degree in real estate, planning, project management or business is preferred or equivalent experience.
  • Professional experience working in an office management and/or supervisory role.
  • Professional experience working with real estate, land use, permitting, project development and/or infrastructure projects.
  • Strong computer skills and the ability to learn new systems efficiently.
  • Good knowledge of accounting and general ledger procedures.
  • Ability to manage multiple responsibilities simultaneously and establish priorities.
  • Detail-oriented, self-motivated and highly organized with strong problem-solving skills.
  • Advanced knowledge of Microsoft Office, Office 365, Microsoft Teams.
  • Experience working with SAP or vendor management systems is an asset.
