The Maine State Society for the Protection of Animals (MSSPA) is hiring a full-time Volunteer Coordinator. Reporting to the Community Programs Manager, the Volunteer Coordinator is responsible for the day-to-day management of the MSSPA’s volunteer activities. Essential duties and responsibilities include, but are not limited to, recruiting, training, orienting, scheduling, managing, and supporting the MSSPA’s vibrant volunteer community. This position is ideal for individuals who enjoy working with people of all ages, backgrounds, and abilities. The successful candidate enjoys multitasking , working both indoors and outdoors in all weather, interacting with the public, and caring for horses. The Volunteer Coordinator must possess the ability to adapt to unanticipated changes in daily work and approach each day with a positive and problem-solving attitude. Basic knowledge of equine care is a plus but not mandatory.
Job Duties and Responsibilities (Other dues may be assigned as appropriate.)
Volunteer Recruitment and Onboarding
- Respond promptly to prospective volunteers’ applications and share information with the leadership team.
- Meet with new volunteers to ensure necessary paperwork is completed, provide a tour of the farm and facilities, and orient them to assigned tasks.
- Organize and conduct training for volunteers in alignment with the MSSPA’s mission and philosophy.
- Update training materials as needed.
Volunteer Scheduling and Coordination
- Identify and schedule volunteers to fulfill the MSSPA’s weekly program needs, special projects, and special events.
- Match volunteers with opportunities that align with their skills and interests in collaboration with the Operations Manager, Equine Coordinator, and Barn Staff.
- Take proactive steps to ensure optimum volunteer coverage for the MSSPA’s needs.
- Update the volunteer schedule as needed.
Volunteer Support and Supervision
- Check in with volunteers throughout their shifts, ensuring safety practices are followed and volunteers feel well-supported.
- Respond to volunteer emails and requests in a timely manner.
- Monitor and support volunteers performing specific tasks, including giving tours, running the Tack Shack, completing office work, and maintaining grounds.
- Occasionally assist with horse care and barn chores as needed (e.g. feeding, watering, turning horses in/out, grooming).
Group Volunteer Coordination
- Coordinate and support volunteer groups (both regularly scheduled and one time), including school, community, and corporate groups, with sizes ranging from 3-40+ people and varying age ranges.
Volunteer Appreciation and Recognition
- Implement regular volunteer appreciation and recognition efforts, including:
- Designing, printing, and distributing volunteer anniversary cards.
- Facilitating National Volunteer Week activities.
- Organizing small gestures of appreciation throughout the year.
- Maintain, place orders for, and arrange pick-up of snacks and drinks for daily volunteers and for volunteer events.
Timing, Compensation, and Benefits
This is a full-time, year-round 40 hours per week position, Tuesday - Saturday 8:00 am – 4:00 pm. The MSSPA offers a full benefits package including employer paid health, dental, short-term disability and life insurance. Paid holidays, sick and vacation time.
This position will pay $20 - $22 an hour based on experience.
