Overview
Ronald P. Cody DMD a dental practice located in Portland, ME dedicated to the delivery of excellent dental care in a comfortable and safe environment. We excel at high-quality adult dental care and are very active in the local community. We are currently recruiting for a full-time Business Manager.
Position Summary
The Business Manager role is critical to support the business’s next phase of maturity. This role will be the partner to the owner, Dr. Ronald Cody, to both run and scale the business. The person needs to be able to steer the business, match the heart and soul the practice is built on, and be able to balance being both a coach and functional player for all facets of the business.
Manage Business:
- Grow revenue and achieve profitability goals
- Manage day-to-day operations of the dental office
- Oversee scheduling and Front Office Coordinator to (i.e. following week is confirmed end of prior week)
- Manage and update office computer systems. Source new systems and softwares as needed for overall efficiency.
- Create predictability, consistency, and stable business overall
- Oversee inventory management and ordering supplies. Find ways to scale down expenses.
- Balance both clinical and administrative duties
- Ensure compliance with health regulations both for the practice and the facility.
- Manage compliance with OSHA, state and federal regulations: ensure all insurances (i.e. malpractice, liability), licenses (doctor, employees, radiography and hygiene, etc), and employee safety are up to date.
- Maintain employment records.
- Meet weekly with owner to discuss necessary topics
Manage Team:
- Own recruitment, hiring, management, and onboarding of staff
- Be responsible for human-resource (HR) activities
- Oversee organizational design and individual roles, alongside KPI metrics
- Run the operating calendar and weekly meetings with the team and ensure progress towards key strategic initiatives
- Hold the company/team accountable to goals and adjust when not working
- Hold performance reviews for employees every 6 months
Be a Functional Player.
- While operating as a coach, this position will require you to step in as player as needed
- Manage high-profile patient calls and scheduling
- Handle patient complaints and issues as a backup to Front Office Coordinator
- Support staff as needed (i.e., appointment scheduling, collections, insurance, etc.)
- Cover employees that are sick
Own Finance:
- Manage all accounts receivable, financial reporting
- Oversee all billing procedures. Ensure bills are paid and deposits are done.
- Monthly reconciliation
- Own and be responsible for payments.
- Refresh and manage Quicken finance

- Bachelor’s Degree
- 3+ years of business management experience and 3+ years of dental experience
- Good working knowledge of dental terminology
- Prior P&L responsibility
- Has run and managed a business of similar scale

- Base Salary: $80,000 - $100,000 annual
- Bonus: 20% based on achieving goals
- Ability to raise salary after 6 months and 1 year if graduated performance, development, and proficiency are demonstrated

Job Type: Full-time
Pay: $41.00 - $52.00 per hour
