Parish Administrator: a flexible, part-time position
St. Thomas’ Episcopal Church is hiring a part-time Administrator who serves as the central hub for daily operations, supporting the Rector and Vestry by managing office administration, communications, and scheduling. Key roles include maintaining church records, producing weekly worship bulletins, managing the parish calendar, and acting as the primary welcoming contact for members, visitors, and vendors.
This position starts at 15 hours per week and may increase over time. The Administrator reports to the Rector.

The Administrator’s core work:
- Managing daily operations (email/phone messages, getting the mail etc.), maintaining office equipment, ordering supplies, and supervising volunteers.
- Records Management: Maintaining accurate, confidential church registers for vital statistics (baptisms, weddings, funerals) and member records, often in systems like Realm (e.g. creating the Liturgical Minister Schedule).
- Communications: Creating weekly bulletins/service materials, managing the church website/social media, and producing a weekly newsletter.
- Calendar & Facilities: Coordinating the master calendar, scheduling facility usage, and overseeing space rentals or building maintenance.
- Clergy & Staff Support: Providing administrative support to the Rector, assisting with vestry meetings, and preparing documents for the annual diocesan Parochial Report.
- Financial Duties: Handling basic bookkeeping (payroll), tracking pledges, helping with weekly deposit, and processing invoices (printing checks for Supply Clergy and Musicians).
- Other: Updating the Asset Map when service times change, One License, and the online Parish Register
Qualified candidates must:
- Be well organized.
- Be detail-oriented
- Be comfortable working with diverse populations.
- Be comfortable answering the phone and welcoming guests.
- Be proficient in the use of computers and cell phones and willing to research and troubleshoot simple tech issues.
- Be competent in record-keeping.
- Be able to work independently and within a team environment.
- Be able to juggle several projects at once while meeting deadlines.
- Know when to ask for assistance and be willing to learn on the job.
Qualified candidates might also demonstrate:
- Proficiency in online organizational and communications tools, including professional use of email, word processing, and social media, Microsoft Office Suite (Word, Excel) or Google Workspace.
- Familiarity with or willingness to learn church management software (Realm), social media platforms, and online communication tools.
- Ability to lift at least 25 pounds.

Salary and Benefits
The Parish Administrator will earn $23-$25 an hour, commensurate with experience. Ideally, the Administrator’s 15-hour workweek would be spread over the course of 3 days. As a part-time staffer, the Administrator will earn vacation and sick time at a prorated rate relative to full-time staff: working 15 hours a week, part-time staff will accrue four vacation days and four sick days a year.
