Mainspring is a collaborative social service hub designed to make it easier for individuals and families to access the resources they need to thrive. Through co-location, centralized intake, and coordinated care, Mainspring connects community members to critical services while building a stronger, more resilient Seacoast. Mainspring opened in early 2025 as a joint project of Fair Tide and Footprints and is experiencing rapid growth as demand for coordinated services increases and interest in this innovative model expands. Position Summary:
The Administrative Lead is a client-facing role responsible for creating a welcoming and caring experience for individuals and families visiting Mainspring.
This role refers individuals to the case management team and partner agencies and plays an essential role in office operations and general administrative duties. The Administrative Lead is an integral member of the Mainspring team. This is an inaugural position at Mainspring, offering an opportunity for the right candidate to help shape and define the role.
Key Responsibilities:
●Oversee the front desk at Mainspring andserve as the initial point of contact for individuals and families seeking services at Mainspring, providing a respectful and dignified point of entry.
●Manage client flow, including checking in scheduled appointments and supporting walk-in clients.
●Triage inquiries and direct clients to appropriate programs, staff, or partner agencies.
●Coordinate with case managers and partner agencies to ensure clients receive timely and appropriate support.
●Oversee day-to-day site operations, including scheduling, shared space coordination, office supply management, client shower schedule, office maintenance, light cleaning, and organization of shared spaces, data entry, and communication with property management.
●Maintain confidentiality with all client information.
●Maintain working knowledge of support services, partner agencies, and local resources to make appropriate referrals.
●Support a collaborative, team-based approach to client care across all Mainspring partners.
●Provide administrative support to leadership, including scheduling, coordination, meeting preparation, and light project support to all teams when time allows.
●Answer phones and respond to or forward general email inquiries, as appropriate
●Collect, sort, and distribute mail to staff
●Take on additional responsibilities as needed.
Qualifications Preferred:
●Administrative experience with demonstrated ability to multitask and pivot in a fast-paced environment.
●Strong interpersonal skills with the ability to work alongside individuals from diverse backgrounds.
●Demonstrated ability to manage sensitive information with discretion and maintain client confidentiality.
●Exceptional organizational and time management skills.
●Strong written and verbal communication skills.
●Ability to learn and use client software.
●Flexibility and adaptability will be important.
●Bilingual proficiency in Spanish is a plus.
●Knowledge of local resources and services available to individuals living on low incomes.
