SUMMARY:
The Assistant Executive Director performs a wide range of job duties assigned by the Executive Director involving nearly all aspects of the Maine Board of Bar Examiners (“MBBE”) operations, ranging from clerical to front-line communications to complex tasks with decision-making responsibilities. The position also provides administrative support to the Executive Director. This employee reports to the Executive Director and will work full-time.
REPRESENTATIVE DUTIES AND RESPONSIBILITIES:
- Draft correspondence and documentation.
- Coordinate and schedule meetings and hearings.
- Pick up, drop off, sort, and distribute mail.
- Welcome visitors, answer phone calls, email communication, and assist the public as needed.
- Perform administrative tasks.
- Assist with the preparation of each bar examination.
- Administer parts of the Maine Bar Admission Rules.
- Prepare, inventory, and pack exam materials.
- Research, compile, and prepare statistics and reports.
- Assist the Executive Director with preparation of some financial work and record gathering for reports (annual audits, annual reports, budgets, etc.).
- Monitor office equipment and troubleshoot and coordinate repairs.
- Monitor office supplies and equipment inventory; order replacements as needed.
- Assist with travel arrangements for the Executive Director and Board members as needed.
- Perform other miscellaneous job-related duties as assigned by the Executive Director.

- Proficiency with a variety of software programs as assigned, including, but not limited to, Microsoft Office and QuickBooks.
MINIMUM JOB REQUIREMENTS:
High school diploma. A Juris Doctor and/or an Associate’s or bachelor’s degree in business administration or related field is preferred. Prior experience in a legal setting is preferred.
WORKING CONDITIONS AND PHYSICAL DEMANDS:

SALARY/WAGE RANGE:
$55,000- $70,000 annually.
