Murray Plumb & Murray is a mid-size, well-respected law firm in Portland, Maine that is seeking a full-time Firm Administrator to oversee daily administrative operations, including work with the Directors and our bookkeeper on financial matters. The Administrator will be a senior level position reporting to the Managing Director.
Responsibilities include:
· Manage day to day operations;
· Payroll administration;
· Budgeting and financial reporting;
· Participate in management meetings and assist with strategic planning;
· Supervise support staff, including hiring, onboarding, discipline, and performance review;
· Work collaboratively with staff to problem solve and address areas of concern;
· Ensure that the firm complies with all relevant laws and regulations;
· Develop and enforce office policies and procedures, including yearly employee handbook updates;
· Administer all benefits, including health, dental, life, disability, and paid family medical leave insurance, 401(k), vacation, PTO, holidays and parking;
· Administer all commercial insurance lines, including building, professional liability, key person life, bonding, casualty, workers’ compensation, and cyber insurance;
· Assist with management of multi-tenant commercial building, including management of tenants and tenant leases; and
· Assist with management of software and computer systems, including relationships with vendors.
Qualifications include:
- Degree in business or management preferred;
- Prior experience as a firm administrator or similar position preferred but not required;
- Proficiency in Microsoft Office (Excel, Word and Outlook);
- Familiarity with legal practice software preferred;
- Familiarity with legal terminology and procedures preferred;
- High level of accuracy, attention to detail, and organizational skills;
- Comfort with technology;
- Strong written and oral communication skills and professional demeanor;
- Excellent teamwork skills and willingness to support others;
- Ability to multi-task, adapt to shifting priorities, and work under pressure around deadlines;
- Positive attitude; and
- Ability to identify and resolve problems.
