The administrative assistant effectively supports the day-to-day business functions of Broadreach Public Relations, a strategic communication’s firm based in Portland, Maine. The position will focus on office management and administrative support.
Specific essential duties and responsibilities include:
· Managing relationships with outside vendors, including IT and HR providers
· Managing office facilities, including coordinating with building landlord and office cleaners
· Ensuring all office supplies are stocked and accessible
· Planning company events as needed
· Coordinating client gifts, cards and other items as needed
· Supporting the President in scheduling and calendar management
· Maintaining list of employee milestones and coordinating gifts/celebrations

In addition to the essential duties and responsibilities, this position requires a high level of attention to detail, project management and interpersonal skills, while working in a fast-paced environment. Additional qualifications and experience include:
· 2+ years of experience in a administrative position
· Proficiency in Windows, MS Office Suite and Adobe
· Excellent writing, editing, grammatical, organizational skills
· Ability to work with a broad range of people including clients, staff, colleagues of the President and others.
· Excellent management, time-management, and problem-solving skills
· Customer service oriented
· Ability to function in a multi-task environment as part of a team or alone on assigned work.
· Excellent attention to detail
· Experience in agency setting or familiarity with public relations industry is a plus
TRAVEL AND SCHEDULE

PHYSICAL DEMANDS
· Must be able to work in a dog-friendly environment.
· Ability to travel to client, vendor, or event locations to support client initiatives.
· Ability to lift 25 to 30 pounds on occasion.
· Must be able to climb 2 flights of stairs to offices.
· Must be able to remain in a stationary position, work at a computer, and use a keyboard for most of the day.
Job Type: Part-time
Pay: $20.27 - $21.35 per hour
Expected hours: 10 – 20 per week
