The Scheduler will create a positive experience in greeting and scheduling patients who require appointments with Katahdin Valley Health Center. The person in this role will provide administrative support in all areas of scheduling while obtaining and updating demographic, insurance, and registration information in the Electronic Health Record of the medical and dental systems.
RESPONSIBILITIES
1. Schedule all appointments per patient requests.
2. Actively work the reschedule and to schedule buckets in Athena.
3. Forward any calls that require triage to the KVHC Care Coordinators.
4. Update patient accounts with current information, i.e.: demographic, insurance, updating PCP listed on insurance card, etc.
5. Instruct patients on necessary documentation to bring to their appointment such as: insurance card, photo id, etc.
6. Instruct patient on premedication for dental appointments.
7. Actively discuss Sliding Fee program and eligibility.
8. Inform patients of KVHC’s No Show Policy.
9. Inform patients of KVHC’s payment at time of service policy, required co-pay, and offer to collect via credit card.
10. If patient has a balance, follow FO Collection Procedure, setting up payment plan if warranted.
11. Verify dental insurance eligibility and coverage and inform patient of expected payment due at time of service.
12. Confirm dental appointments three days in advance and reschedule if necessary.
13. Work on outreach reports and various endeavors in filling the KVHC schedules.
14. Remind patients they will receive and additional call from Athena. Inquire as to their preferred method of contact and update in Athena.
15. When needed schedulers will be asked to cover for Patient Service Representatives at the front desk.
16. Other duties as assigned.
16. Performs additional duties or projects as assigned by the Scheduling Coordinator.
17. Adheres to all KVHC policies and protocols.
18. Complies with all safety rules and protocols. Reports all incidents, regardless of severity, immediately to their supervisor and completes an incident report and investigation form, which will be forwarded to Human Resources within 24 hours of the incident.
19. Conducts themselves as a good steward in the communities served by KVHC; represents the organization at outreach activities as needed.
20. Actively participates as committee member as assigned by the Chief Executive Officer.
21. Interacts harmoniously and effectively with others. Focusing on the attainment of organization goals and objectives through a commitment to team work.
22. Conforms to acceptable attendance and punctuality standards as expressed in the employee handbook.
23. Abides by the organization’s compliance program and requirements
