We are seeking a detail-oriented and organized Administrative Files Clerk to join our team. The ideal candidate will be responsible for managing and maintaining our administrative files and records, ensuring that all documentation is accurate, up-to-date, and easily accessible. This position plays a critical role in supporting office operations by providing essential administrative support and ensuring compliance with filing procedures.
Responsibilities:
Organize and maintain physical and electronic filing systems for administrative documents, including correspondence, reports, and records.- Retrieve, sort, and file documents efficiently to facilitate easy access and retrieval.
- Ensure that files are updated and maintained in accordance with company policies and legal regulations.
- Assist with the preparation and distribution of reports and documents as needed.
- Collaborate with other departments to ensure that documentation is complete and accurate.
- Perform data entry tasks and maintain databases related to administrative files.
- Handle incoming and outgoing mail, ensuring proper distribution and filing.
- Support the administrative team with various tasks, including scheduling meetings and managing calendars.
- Maintain confidentiality of sensitive information and adhere to privacy regulations.
- Participate in training and development opportunities to enhance skills and knowledge.
Qualifications:
High school diploma or equivalent; additional education or certification in office administration is a plus.- Proven experience in an administrative or clerical role, preferably in a filing or records management capacity.
- Strong organizational skills with a keen attention to detail.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with electronic filing systems.
- Excellent written and verbal communication skills.
- Ability to work independently and as part of a team.
- Strong time management skills and the ability to prioritize tasks effectively.
- Knowledge of data privacy and confidentiality best practices is a plus.
The pay range for this role is:
30 - 36 USD per hour(Remote (Auburn, Maine, US))
