The Optometry Scheduler plays a key role in ensuring the smooth operation of an optometry practice by managing appointment scheduling, patient communication, and front office coordination. This position requires excellent organizational and communication skills, as well as the ability to provide outstanding customer service in a fast-paced environment.
Key Responsibilities:
- Answer incoming phone calls, emails, and in-person inquiries regarding appointments and services.
- Schedule, reschedule, and confirm patient appointments for eye exams and other optometric services.
- Verify patient insurance coverage and inform patients of any necessary co-pays or out-of-pocket expenses.
- Maintain and update the electronic scheduling system and patient records.
- Communicate clearly with patients about appointment times, pre-visit requirements, and office policies.
- Coordinate scheduling between multiple optometrists, technicians, and departments.
- Handle cancellations and no-shows in accordance with office policies.
- Assist with patient check-in/check-out and ensure proper paperwork is completed.
- Collaborate with clinical staff to ensure timely patient flow and minimize scheduling conflicts.
- Maintain confidentiality of all patient information in accordance with HIPAA regulations.
- Perform other front desk or administrative tasks as needed.

Skills needed for this job:
- Familiarity with Electronic Health Records and the systems used to manage records
- Familiar with HIPPA regulations and confidentiality
- Knowledge of medical terminology, procedures and diagnosis
- Knowledge of general administrative and clerical procedures
- Knowledge of computer and relevant software applications to include - Microsoft Office, Word and Excel
- Medical Billing, Benefits and Insurance knowledge helpful
- Medical Work History helpful
