Job Summary
A small but growing law firm is seeking a detail-oriented Administrative Assistant to join our team. The ideal candidate will provide support to ensure efficient operation in the office environment.
Responsibilities
- Coordinate and manage executive’s daily calendar and assist in keeping executive on schedule at all times;
- Answer/screen/initiate phone calls for executive; respond to all client requests on behalf of executive to include any needs, solutions to any problems, changes to clients documents and organize/summarize all items communicated to executive;
- Coordination, facilitation and management of executive’s presentations;
- Timely and accurate preparation and submission of all assigned projects to include, but not limited to, client documents, other paperwork and applications for clients, proposals, agreements, flyers and direct mail letters, marketing materials, and other correspondence as needed/requested;
- Data entry, electronic and physical file management;
- Review/distribute mail for executive’s review and respond to inquiries as appropriate;
- Maintaining clean and organized office space, ordering supplies, and coordination;
- Internet research as requested;
- Maintaining confidentiality and work independently;
- Occasional travel to satellite offices in Bangor ME, Manchester ME
- Other tasks and projects as assigned.
- Perform clerical duties such as filing, photocopying, and organizing documents
- Manage schedules and calendars, including arranging appointments and meetings
- Assist with data entry tasks and maintain accurate records
- Greet visitors and direct them to the appropriate personnel
- Handle incoming calls and correspondence in a professional manner
- Conduct basic proofreading tasks for documents and emails
- Utilize computer skills to create spreadsheets, reports, and presentations
Requirements
· BA Degree preferred (not requiredn will consider right candidate with High School Diploma or equivalent)
· Type minimum of 50 WPM
· Strong computer skills (MS Word, Outlook, Excel, Internet, Internet-based programs)
· Notary License (firm will pay for class/licensing)
· Strong verbal and written communication skills
· Organizational skills (electronic and paper files)
· Ability to prioritize and multitask
· Extreme attention to detail
· Self-starter, positive attitude, team-player and quick learner
· Strong work ethic, reliable and dependable
Reliable transportation and valid driver's license
Job Type: Full-time
Pay: $20.31 - $21.27 per hour
Expected hours: 40 per week
