Job Description
The Administrative Technician provides administrative support to Managers, Foremen, Supervisors, represented employees and Union officials. Must be able to maintain manual and electronic files, perform general office support functions, answer phones, take messages, distribute mail, input data electronically, fax/photocopying and performs records retention assignments. Must be capable of working in a fast paced environment with distractions, have the ability to multi-task and possess good people skills. The Bath Iron Works clinic currently processes a general average of 80-120 +/- patients per day. Visits to the clinic are primarily on a walk-in basis with the Administrative Technician needing to possess strong attention to detail and critical thinking skills. The ideal candidate will be flexible, efficient and professional. Current schedule for this position is Monday-Friday 8:30 AM-5:00 PM (subject to change based on departmental need and seniority).
Job Tasks include but not limited to:
- Compile, process, and maintain medical records of patients in a manner consistent with medical, administrative, ethical, legal and regulatory requirements of the healthcare system.
- Checking in employees: follow-up appointments, return-to-work, occupational, non-occupational, physical/massage therapy, external care, surveillance testing.
- Checking out employees: ensuring proper discharge including entering limits per M1, follow-up with providers, delivering instructions for return-to-work (occupational vs. non-occ), issue and manage unpaid and paid pass out process.
- Answering phones: provide guidance and direction to appropriate party for further assistance.
- New Hires: contact applicants via e-mail/call/text, schedule new hire testing both locally and out of state, track new hire pre-screening and pre-hire clearances.
- Surveillance: schedule, re-schedule, track test results and updates, compile data points for daily/weekly reports
- Processing: perform proper filing order of medical documents within charts, submitting IIR (injury investigation reports) for work-related injury with careful attention to privacy cases, submit to Worker’s Comp.
- Medical Documentation Retention: follow regulations for all records.
- Provide Support: of all clinical administrative functions for medical personnel.
- OSHA: understand OSHA recordability, compliance, documentation and how to explain OSHA vs. Worker’s Comp including paid vs unpaid pass out policy.
This position is within the Occupational Health team.
Required/Preferred Education/Training
- High School diploma or GED required.
Required/Preferred Experience
- Medical Terminology required.
- Medical Office experience required.
- Worker’s Comp/OSHA regulation experience preferred.
- Ability to multitask and work in a high pace environment.
- Ability to communicate effectively in person/email/phone.
- Demonstrated proficiency in Microsoft Word/Excel/Outlook.
- Attention to detail in documentation.
- Excellent organizational skills.
- HIPPA Compliant.

Pay: $23.00 - $25.00 per hour
