Overview: RSU 21 is seeking a detail-oriented and highly organized Administrative Assistant to support the Operations and Facilities Department. This role is critical in ensuring smooth daily operations, coordinating vendor services, managing department communications, and supporting the upkeep of our district facilities.Key Responsibilities: Process and reconcile invoices, purchase orders, and financial recordsMaintain vendor contracts, insurance documents, and service schedulesCoordinate maintenance, custodial, and grounds crew logisticsManage phone, email, and work order systems (e.g., SchoolDude)Schedule and document building inspections and compliance recordsTrack preventative maintenance tasks and certificatesMaintain organized digital and physical filesPrepare internal reports, memos, and department communicationsSupport emergency response communication and vendor coordinationAssist with budgeting, procurement, and record-keepingHandle building rental requests and verify insurance for non-district usersQualifications: High school diploma required; Associates or Bachelor's degree preferred35 years administrative experience, preferably in a school or facilities settingProficient with Google Workspace (Docs, Sheets, Calendar); AptaFund experience a plusStrong time management, communication, and interpersonal skillsHigh attention to detail and accuracyAbility to manage multiple tasks and maintain confidentialityCore Competencies: Highly organized, dependable, and responsiveClear and professional communicatorCollaborative but self-directedCalm under pressure and service-orientedValues inclusivity and diverse perspectivesPhysical Requirements: Extended computer and phone useOccasional lifting (up to 25 lbs)Accommodations: RSU 21 provides ADA-compliant accommodations upon request.Evaluation: Performance is reviewed by the Superintendent per Board Policy GCOC.
