JOB SUMMARY: The Executive Director is the Principle Paid Executive of the Greater Fort Kent Area Chamber of Commerce, and reports directly to the President of the Board of Directors. He/She will maintain an effective liaison with civic organizations and municipal government. He/She will address issues related to tourism, economic development, recreation, the environment, cultural preservation, education and health care with direction from the board of directors.
ESSENTIAL FUNCTIONS:
Office Duties:
1. Responsible for the overall operation of the Chamber of Commerce and to accomplish its goals and policies, Including but not limited to:
a) Develop and maintain a well organized and orderly office. This includes well maintained and operating office equipment, a clean appearance with appropriate signage
b) Ensure regular business hours are maintained. This includes ensuring that staff or a volunteer is in the office during posted office hours. Office must be physically unlocked during posted hours.
c) Maintain member files and member data to ensure that data base is accurate and effective
d) Maintain office files and financial data of the Chamber in accordance with Maine State laws
e) Organize displays in an alphabetical manner and ensure that material is not stale dated
f) Maintain a clean and organized storage room and bathroom. Regular weekly cleaning of these two spaces is required.
g) Maintain a positive and professional office appearance, including appropriate business casual dress. No jeans or tank tops allowed.
h) Ensures the Chamber policies and procedures are carried out.
2. Ensure financial stability and accountability working collaboratively with the Chamber Treasurer.
a) Participate in the budgetary process, making recommendations on income and expenses. Follow all financial policies and report to the Executive Committee in the absence of the Treasurer.
3. Effectively interpret policy to make responsible daily decisions
a) Follow and apply the directions from the Board on approved policies and procedures.
b) Handle member complaints when presented. Work with President and Board to resolve if possible.
4. Act as a responsible and professional representative on behalf of the GFKACC at outside meetings and events. Appearance and dress must be appropriate for all events.
Membership
1. Promote and foster, through steady visibility, the image desired by the memberships. Such positive image may be accomplished by using press releases, media interviews, brochures, and/or meeting and by fostering a close relationship with the news media on a local, state, national, and international level.
a) Develops and maintains a current membership investment packet
b) Develops and revises current membership pricing with board approval
c) Develops PSA’s about the Chamber activities and it’s members.
d) Develops and promotes a Ribbon Cutting Ceremony for new businesses.
e) Develops and maintains necessary brochures to enable tourism and relocation.
2. Lead recruitment efforts for new members
a) Visits two potential members per week or an average of 8 per month
b) Promote new members through newsletter articles
3. Lead member retention programs, at a level which will insure necessary income for the operation of the Chamber.
a) Visit four current members per week or an average of 16 per month
b) In person, visit all non-renewing members by March
4. Promotes Chamber membership through personal contact,
a) At least one visit per member per year,
b) Dissemination of printed material, and updated brochures are available and on display
c) Constant exposure to media
Board Support
1. Assist the Board of Director and all of its Committees and Sub-committees to achieve their goals
a) Participate in subcommittee meetings as needed and directed, including keeping subcommittees aware of upcoming meetings and progress reports due.
b) Perform tasks as requested/assigned by the committee or committee chair
c) Keep executive committee aware of matters, including possible funding sources for programs and possible partnerships.
2. To promptly handle routine correspondence and to ensure matters requiring Board attention are directed to the President in a timely manner.
a) Provide the President with regular and timely progress reports on active issues
b) Communicate proposed changes and potential or real problems
3. Provide clerical assistance to the Board as needed
a) Board Meetings
i. Ex Com Meeting
1) Prepare agenda, send out one week prior, document minutes, presents office report
ii. Board Meetings (In the absence of an Administrative Asst.)
1) Send out agenda and meeting minutes one week prior to meeting
2) Call all board members one day prior to meeting to affirm quorum
3) Serve as secretary, document meetings
4) Monitors attendance at meetings and reports non-compliance
b) Helps to define the yearly calendar
i. Board Meeting times and dates/locations, arranges with organization
ii. Event times and dates
4. Ensure that all Board materials are filed and distributed in a timely manner
a) Keeping a board meeting binding with agendas, minutes and all materials that have been distributed during the meeting according to state law
5. Confirm details, room set-up, ensure hospitality for and attend Board meetings
Tourism
1. Promote the Chamber events and local events through public (free) event listings, displaying posters, having event information available in the office
2. Promote our areas through general knowledge of the area/people/places/activities, through brochures, tradeshows, effective advertising.
3. Maintains updated/current brochures that accurately reflect the area and members
4. Attend tradeshows to promote the area
Chamber Events and Programs
1. Implement the various programs/events as endorsed by the Board of Directors
a) Chairs or assists the chair/committee
2. Direct efforts to ensure adequate funding for all events/programs.
a) Ensures that budgeted events/programs are carried out within budget
