Description
Job Summary: Under the direction of the Chief Nursing Officer and the Nursing Leadership team, provides secretarial, clerical and administrative support services such as preparing correspondence, policies, reports, collecting data, scheduling meetings, maintaining files and conducting special projects as assigned.
Essential Job Duties:
1. Provides courteous customer service to patients, patient families, staff and leadership team. Promptly directing inquiries to the appropriate personnel.
2. Performs office clerical duties such as typing, photocopying, scanning and filing.
3. Arranges meetings and secures space and necessary tools, requested items, or materials needed for meeting.
4. Collects, compiles, and enters data into databases and/or spreadsheets; distributes compiled data.
5. Creates and distributes a variety of reports, memos, forms and correspondence.
6. Maintains record keeping, due date schedule, and filing systems according to organization standards.
7. Sends reminders to staff for upcoming requirements, renewals, and due dates.
8. Assists with obtaining and tracking ongoing data and reports to appropriate person in Nursing Leadership of missing items or upcoming due dates.
9. Distributes reports, updates department bulletin boards, and maintains current postings.
10. Assists in processing vouchers through the electronic system, directing to appropriate members of leadership team.
11. Uploads and assigns documents or trainings within Relias out to staff.
Requirements
Education or Experience:
1. Previous office experience preferred.
2. Understanding of hospital process is preferred.
3. Knowledge and skill in Microsoft Office programs (Word, Excel, PowerPoint, Outlook, etc.).
4. Ability to answer phones and greet others, conversing courteously and in a professional manner.
