Seeking a friendly, detail-oriented, energetic, and self-motivated professional to join our boutique Multi Physician Cosmetic surgery practice with a full medical spa as a Patient Care Coordinator with strong interpersonal & sales skills, and an upbeat attitude to work at our Portland, Maine location. The patient care coordinator is one of the most vital roles in our office, so we need a consummate professional with a can-do attitude who wants to help us deliver excellent care while contributing to the growth of our business. The new team member will function at a high level by assisting our patients via phone, chat, email, and in person. The ideal candidate will be motivated to serve multiple functions in a team environment with a focus on patient satisfaction. Our new team member must excel in building relationships and creating lifetime partnerships with patients and thrive in a high-energy environment. We are looking for someone who will act as a brand ambassador to new and existing patients, delivering personalized customer service to each patient while consistently demonstrating a positive attitude and working as a team player.
The Patient Care Coordinator is responsible for:
- Educating patients using a consultative sales approach on our services and products, laying out a treatment plan with them that is highly customized to assist them in looking and feeling their best.
- Selling the value of our services to our patients when they visit our clinic during their consultations and treatments
- Following up with previous patients to continue to cultivate a relationship with them and renew their interest in a potential partnership with MPS.
- Creating partnerships in the community and exposing people to our Brand
- Cultivating lasting relationships with Patients where they are excited to tell everyone about MPS
- Combing through the current database to find and follow -up with under-contacted people.
- Function as primary liaison between patients, staff, and physicians.
- Attending training sessions, continuing education workshops, etc.
- Talking to patients, both new and old, by phone, email, webcam etc.
- Regular computer notation, report creation, meetings with doctors, and practice manager, and mastery of computer software programs for use as a CRM and reporting tool.
- Timely task completion and organization.
- Assist practice in updating the catalog of before/after pictures and website.
- Take an active role in promotions/office events, and community outreach.
- Coordinating treatment dates, and following up to ensure satisfaction
- Represent the practice with a professional, approachable demeanor, promoting high-value treatments confidently.
- Ability to roll up your sleeves with a can-do attitude and the willingness to do whatever it takes to help the business succeed, even if it’s outside of your job description
- Have a good working knowledge of all surgical and aesthetic procedures offered as well as medical grade product lines
- Whatever it takes within ethical bounds to achieve growth as a practice and to keep patients happy.
Job Requirements
- 2 years of experience in a similar position with demonstrated competency in performing previously mentioned skills or relatable work skills
- Excellent communication and interpersonal skills; ability to develop rapport and maintain positive relationships with a variety of personalities, patients, staff, and physicians.
- Proficient PC skills with exposure to electronic medical records systems.
- Ability to work in a very fast-paced environment
- Ability to work flexible hours typically M-F anywhere from 7am-7pm
- Must be a self-starter and highly motivated
- Preferred but not limited to the following industry experience: Esthetic, Cosmetic, Health & Wellness, Weight Loss, Hair Restoration, Plastic Surgery, Med Spa, Lasik, PR and Marketing, Fitness or related industries
- Empathy, Organization, Team Spirit, Ability to Adapt and Learn new systems, positive growth-minded attitude

Pay: $40,000.00 - $100,000.00 per year
