Serves as the first point of contact at y’Douville Pavilion, welcoming all internal and external customers in a friendly, professional, and courteous manner. Coordinate information and communication systems to achieve high quality customer service. Oversees smooth transition of these services to part-time/relief staff. Supports the admission process by helping and coverage for the Coordinator of Eldercare Admissions.
Essential Duties and Responsibilities
Operate the Communication Center, ensuring a welcoming and organized environment.
Greet and assist visitors promptly, directing them as needed.
Manage incoming calls, representing the organization professionally.
Handle confidential correspondence and memos.
Enforce communication policies and provide initial information for inquiries.
Facilitate daily announcements and coordinate transportation arrangements.
Maintain facility policies and identify areas for improvement.
Oversee mail distribution and ensure patient safety systems are functional.
Train and supervise receptionist desk coverage.
Participate in emergency procedures and incident reporting.
Update on-call lists and facilitate smooth communication between departments.
Oversee the daily operations of the Communication Department.
Manage administrative tasks and respond to inquiries effectively.
Provide support to various departments, ensuring accurate information dissemination.
Maintain office supplies inventory for multiple departments.
Conduct tours for potential admissions and manage waiting lists.
Coordinate admissions processes and assist with pre-certification.
Handle authorizations and financial information.
Follow up on necessary documentation and cover for admissions staff when needed.
Performing clerical duties as required, supporting departmental needs.
Assist with computer programs and troubleshooting.
Provide typing support and assist with special projects.
Act as a resource and provide in-service education.
Complete annual competencies and seek learning opportunities.
Stay updated on industry changes and advances.
Coordinate and facilitate in-service as required.
Makes recommendations for improvements in quality and/or efficiency to immediate supervisor.
Supports a safe environment for residents/patients, guests, and staff.
Performs other related duties and activities as may be requested by my immediate supervisor.
Other duties are consistent with this role.

Demonstrates good organizational and time-management skills.
Excellent communication and interpersonal skills; medical terminology is helpful.

The ability to work effectively as part of a multidisciplinary team.

Must be able to speak clearly, read, write, and comprehend the English language.
Education and Experience
Less than high school, high school diploma or GED.
1 year of clerical/receptionist experience desired.
Must speak, read, and write the English language. Bilingual skills a plus.
An equivalent combination of education and experience which provides proficiency in the areas of responsibility listed above may be substituted for the above education and experience requirements.
