As we expand our impact through new initiatives, including transitional housing development and strengthened programs, the Finance and Development Manager will play a key role in shaping the systems and infrastructure that support our growth.
Position Overview
The Finance and Development Manager is a key member of the Greater Portland Family Promise leadership team, responsible for managing the organization’s financial systems, administrative operations, and development activities. This role ensures strong internal systems, accurate financial reporting, and effective donor and fundraising operations, allowing the Executive Director to focus on strategic leadership, partnerships, and resource development.
Primary Responsibilities
Administration
- Serve as a member of the leadership team, supporting strategic decision-making and long-term organizational sustainability
- Support Board operations, including preparation of materials and coordination with Board committees
- Maintain compliance with state and federal requirements, including licenses and filings
- Maintain organized and secure organizational records
- Support development and implementation of internal policies and procedures
Financial Management
- Lead preparation of the annual budget in collaboration with the Executive Director and Finance Committee
- Produce monthly and periodic financial reports for leadership and the Board
- Prepare for and participate in Finance Committee meetings alongside the Board Treasurer
- Monitor budget performance, cash flow, and compliance
- Maintain accounting systems in QuickBooks Online, including tracking AP/AR
- Reconcile bank accounts and ensure accuracy of financial records
- Manage payroll processing and coordinate with external payroll provider
- Prepare and record cost allocations across programs and grants
- Lead annual audit and IRS Form 990 processes in coordination with contracted CPA
- Ensure strong internal controls and adherence to financial policies
Grants & Compliance
- Prepare grant budgets and reports in collaboration with the Executive Director
- Ensure compliance with federal and state grant requirements, including proper use of federal funds
Development & Communications
- Enter donations and pledges into the donor database and reconcile with financial systems
- Generate donor acknowledgments and tax receipts in a timely manner
- Assist in creating and managing annual campaigns, email campaigns, social media content, and updates to the organization’s website
- Provide support in stewarding existing donor relationships and identifying and cultivating new prospect relationships
- Prepare for and participate in Development Committee meetings
Perform other duties as assigned
Qualifications
- Bachelor’s degree in nonprofit finance, accounting, or related field
- Experience in nonprofit financial management, including payroll, accounts payable, accounts receivable, and fund accounting
- Experience with QuickBooks Online
- Experience with donor databases/CRMs
- Experience in grants management, including federal grants (preferred)
- Knowledge of GAAP
- Proficiency in Microsoft Office and other common computer applications
- Strong organizational skills with attention to detail
- Ability to manage multiple priorities and meet deadlines
- Strong written and verbal communication skills
- Ability to handle confidential information with discretion
This is a full-time (40 hours/week), primarily remote position in Greater Portland, with regular in-person meeting/event attendance required.
